Behind the Scenes, A Wedding Decor Setup From Start to Finish

Most brides have never seen what a wedding setup actually looks like from the inside. Here is the full day, from the moment our team arrives until the doors open for guests.
The night before. The team meets at our studio for the final pull. Every floral arrangement is built or pre conditioned. Hardware (backdrops, stands, runners) is loaded into two trucks. The day-of run sheet is finalized and shared with the planner and venue contact.
7 AM. Trucks roll out. We arrive at the venue by the start of our load in window. The venue manager walks the team through the space, marking power outlets, restricted areas, and timing.
8 to 9 AM. Heavy hardware first. The floral wall structure is positioned, the entrance arch is anchored, the runway carpet is rolled out and pinned. Anything that requires two or more people to lift goes up first.
9 to 11 AM. Florals attach. The team divides. One group builds the entrance arch florals on site. Another builds the head table installations. A third places centerpieces on every table per the seating chart.
11 AM. Quality pass. The lead designer walks every part of the install with the planner. We adjust heights, refresh stems that travel rough, and tweak anything that does not photograph well in the venue light.
12 to 1 PM. Final styling. Place cards, menu cards, custom signage, candle placement, hidden cabling for any lighting. The room transitions from setup to ready.
2 PM. Guests start to arrive. We step out before the first guest crosses the threshold and stay on call from across the parking lot for any touch ups.
Teardown. Our team returns at the end of the night or first thing the next morning depending on the venue's contract. Everything that is reusable comes back to our studio. Florals are donated when possible.
